Director of Ministry Support - Position Description

Purpose:
This position is part of the Senior Leadership Team of the church. The other members of the team are the Senior Pastor and Associate Pastor.
Aligned with the Senior and Associate Pastor, Session, and vision of the church, this position provides strategic leadership, oversight and support in the areas of administration, human resources, finance, legal, facilities, communication, and information technology. This position focuses on the management of staff, resources, processes, policies and procedures needed to support the church and its ministries. Ultimately, the goal of the person filling this position will be to ensure that ministry teams operating both within and outside of church walls are appropriately resourced and supported to accomplish their mission.
Duties and Responsibilities: Full Time
- As part of the Senior Leadership Team, help identify and execute the
strategies that will continually support the
mission of the church (Moving people
towards Christ) and movement toward its vision (Church without Walls)
- Provide direct management and supervision for the Office Manager,
Assistant Treasurer, and Facilities Manager. This includes day-to-day
oversight, performance management (including goal setting, on-going
feedback appraisal/review), and job development for staff.
- Oversight of part-time staff, volunteer staff, and lay teams including
but not limited to those involved with Human Resources, Information
Technology and Communications.
- Provide guidance and support to the Trustees as they administrate the
financial, real property, and legal resources of the church to support the
church's vision, mission and values as defined by Session and the Senior
Leadership Team.
- Serve as liaison between Trustees and Senior Leadership Team by working
with Trustee chair to develop Trustee meeting agendas, attend Trustee
meetings, and finance, legal, and building and ground team meetings
as necessary.
- Work with Trustees to apply and refine the building use policies so as
to optimize the ministry effectiveness of the property, and to disciple
the congregation in the area of stewardship.
- Coordinate the annual and long-term budgeting process.
- Provide direction, communication and management for the following operation
functions: administration, human resources, finance, legal, facilities,
information technology and communication.
- Coordinate communications between all full-time, part-time and volunteer
staff that support operational functions and resources.
- Document current administration, human resources, finance, legal,
facilities, communication and information technology processes.
Communicate current processes to staff and congregation. Ensure that all
involved parties are appropriately trained.
- Minimize duplication of effort through awareness and communication of
church activities. Maintain up-to-date documentation and ensure that this
information is freely available to staff and congregation when and where needed.
- Analyze existing administration, human resources, finance, legal, facilities,
communication and information technology processes and policies for
possible redesign, staffing and/or reorganization.
- Analyze operational needs and identify new processes and/or the
corresponding staff necessary to meet those needs (on-going).
- Develop and oversee implementation of new/revised operational policies,
procedures, and related documentation and training.
- Assess ministry resource requirements and identify ways to proactively
meet the needs of ministry leaders.
- Work closely with the Senior Pastor, Associates Pastor, Trustees and
ministry leaders to identify, implement and maintain resources, processes,
policies and procedures necessary for the support of all church ministries.
- Oversee the continuous improvement (quality and effectiveness) of all
operational processes and staff in support of those processes. Make
improvement recommendations to the Senior Leadership Team, Session, and/or
Trustees. Recommendations will include options, risks, and financial impact.
- Organize, train and develop part-time staff and lay volunteers to
effectively meet the operational and resource needs of the church and
its ministries
Minimum Education and Experience:
- 5-7+ years of operational management experience in a church, non-profit
organization or private sector
- Experience as part of executive management team desirable
- BA or BS (Masters of Divinity or MBA desirable)
Knowledge, Skills, and Abilities Required:
- Professes an active faith in Jesus Christ as Lord and Savior, is willing
to become a church member, and can answer affirmatively the questions
for officers in the PCUSA Book of Order: G-14.0207.
- Spiritual Gifts of administration, leadership, pastoring (shepherding),
wisdom and knowledge
- Organization/staff management, human resources, and individual employee
management and development
- Process analysis and improvement
- Ability to develop new processes, policies and procedures
- Broad knowledge and experience with the management of operational
processes, policies, procedures, and resources
- Practical experience of HR processes, including recruiting, hiring,
staffing, and performance management
- Financial management and forecasting experience
- Organizational planning and strategic development
- Practical experience managing the strategic use of information technology
to improve operational processes
- Communications planning and management
- Proven ability to develop strategic partnerships with other organizations
Working Conditions:
- Work is normally performed in a typical interior/office work environment,
but may involve moderate exposure to unusual elements, such as extreme
temperatures, dirt, dust, fumes, smoke, unpleasant odors, and/or loud noises.
Physicial Effort:
- Limited physical effort required including heavy lifting, pushing, or
pulling required objects up to 50 pounds.
Environmental Conditions:
- No or very limited exposure to physical risk.
