This is a position description for Facilities Manager we are seeking.

Reports to:Director of Ministry Support
Exempt Hours:Full-Time; M - F, 8:00 - 5:00; some work outside of 40-hour work week

The following statements are intended to describe the general nature and level of work being performed. They are not intended to be construed as an exhaustive list of all responsibilities, duties and skills required of personnel so classified.

General Purpose Of Job

Under supervision of Director of Ministry Support, plans and oversees building maintenance, custodial maintenance, grounds maintenance, security, and safety functions for the church. Establishes, implements, and enforces facilities policies and procedures, and sets workflow priorities and quality standards for maintenance, custodial, security, and safety tasks. Manages all work priorities through the use of a Work Order Management System. Oversees or performs various routine maintenance and custodial tasks in support of the church, Supervises all custodial and maintenance staff and oversees various work projects for volunteers. Responds to all work requests and customer inquiries in a timely and courteous manner. Regularly contacts various building and grounds users and church staff to resolve a variety of problems. Develops and maintains an in-depth knowledge of church operations and objectives, and overall knowledge of other departments. Regularly coordinates with various staff regarding the status and quality of the condition of the building and the grounds. Establishes and maintains a fixed asset inventory system. Performance of various other duties as required.

Duties And Responsibilities

  • Building Maintenance
    • Operate a Work Order Management System to facilitate work priorities, oversight and completion
    • Facilitate repairs through personal work or coordination of staff, volunteers or outside contractors. This involves the repair of furniture, maintenance equipment, building surfaces, electrical systems, HVAC, plumbing, etc.
    • At least monthly audit the entire building to determine custodial needs and quality, maintenance needs and quality, and projects necessary to maintain the building in an excellent manner.
    • Meet at least quarterly with all ministry staff that use the building regularly to determine their needs and perceptions of the building maintenance status, cleanliness and maintenance and custodial staff service attitudes.
  • Custodial Maintenance
    • Manage all building custodial services
    • Supervise Custodians
    • Responsible for scheduling of work shifts, special event coverage, room set-ups, cleaning activities with meetings
    • Manage timesheet preparation
    • Coordinate special cleaning arrangements such as carpet, drapes, windows, etc.
    • Monitor all drain systems
    • Responsible for inspection of work completion and quality of work.
  • Grounds Maintenance
    • Schedule grass cutting, snow removal (walks and parking lots)
    • Coordinate with Building and Grounds Committee the repair of ground maintenance equipment and tools.
    • Inventory items needed (i.e., rock salt).
    • Coordinate contractors, general policing of property, leaf removal, cleaning of drains, etc.
  • Equipment and Supplies Inventories
    • Develop necessary supplies lists
    • Determine what equipment should be owned versus rentals or use of specialty contractor
    • Determine best cost suppliers and monitor vendor relations.
    • Issue purchase orders.
    • Maintain inventory of all equipment and supplies.
  • Security
    • Oversee key plan, door operation, video camera operation, intercoms, exterior lighting, alarm systems (fire and security),
    • Coordinate with vendors supplying these services, morning building inspections, evening security patrol, coordination with police.
  • Trustees
    • Attend monthly Trustee meetings as resource for informational purposes and to present needs of repair projects, safety concerns and equipment.
  • Attend weekly Staff meetings to obtain their needs and provide them with information updates.
  • Work with New Building contractor on punch lists and follow up on equipment under warranty. Make determinations on which equipment should be under maintenance contracts.

Minimum Education And Experience

Three to five years of experience directly related to the duties and responsibilities specified.

Working Conditions

Work is normally performed in a typical interior/office work environment with regular and constant deadlines are a regular aspect of the position.

Physical Effort

Limited physical effort required including heavy lifting, pushing, or pulling required -- objects up to 50 pounds.

Environmental Conditions

No or limited exposure to physical risk.
